Elegant Occasions Rental Agreement
Hold-the-Date Deposit
When you hire Elegant Occasions to perform decorating, setup or takedown services for your event or business, a Hold-the-Date/damage deposit is required to reserve our services for your date and insure that broken or missing items can be replaced (if any) . This deposit is due before we can commit our services to you for the date you have requested. Until this deposit is made, our services are NOT GUARANTEED for your event no matter when contact was made or what verbal arrangements were discussed.
When you've placed your order for Elegant Occasions Rental products or services and paid your order deposit, your hold-the-date deposit becomes a cleaning/damage deposit. This deposit is refundable after your event and will be returned to you upon the return of the rental items to Elegant Occasions in clean and undamaged condition.
Order Deposit
Your order must be placed with us within the guidelines outlined below.
- You must finalize your rental requirements a minimum of 45 days prior to your event or we cannot guarantee the availability of the items you will need for your event unless we specifically accept your order. If you have not finalized your rental requirements with us within 30 days of your scheduled event, your event date and hold-the-date deposit will be forfeited and your event will be cancelled in our books.
- An order deposit of 40% of the total rental order (including services) is due at the time of your order. The order deposit payment is non-refundable if the event is cancelled or if you decide to use another vendor without the specific approval of Elegant Occasions.
Final Account Payment
The balance of the order invoice is due in full 14 days before the scheduled event date. If the balance is not paid by that date, your date may be forfeited and your deposits may not be returned.
Adjustments to Your Order
The number of guests/tables may be adjusted up to 2 weeks prior to your event a maximum of 15% up or down without penalty within the following guidelines:
- Special linens must be ordered by us 4 weeks prior to you event for guaranteed delivery to us. If you change the count after that time, you will either be billed for the entire quantity ordered (if count is lowered), or we may not be able to secure additional linens for your event (if your count is raised).
- Items ordered specifically for your event such as special glassware, or non-stock rental items that we purchase just for your event can not be adjusted down, but may possibly be adjusted upward within a 5% window if additional items were ordered by us.
- Standard in-stock items such as glassware, fillers, candles, etc can be adjusted up to 15% up or down without penalty. Unneeded items in this category will be removed from your final invoice.
After the 2 week time period adjustments to your order cannot be guaranteed and will be handled on an individual basis.
Special Order Items
Items that are ordered specifically for your event will be charged to your bill at the rental amounted quoted whether or not they are actually used in decorating your event. If you cancel your event with us and have ordered special items, you will be billed for those items in the quantity requested by you at the time you approved the design.
Extending Your Reception Past the Time Stated
If Elegant Occasions has been hired to takedown the decorations at your reception and you decide to extend the length without sufficient notice, a $40.00 charge will be assessed against your damage deposit as a noted expense.
Rescheduled Events
If your event must be rescheduled, you will need to contact us to verify that your new date is available for us to service you. If your new date is fully booked, and our setup/takedown services were contracted, we reserve the right to remove those services from our agreement and from your invoice, and it may become necessary for you to locate other people to setup/takedown your event.
Cancelled Events
If your event is cancelled, you will need to contact us and request that we cancel your order a minimum of 14 days before the originally scheduled event date. We will cancel your order upon written notification and the balance of your invoice cancelled. Any deposits paid up to that time may not be refunded to you at our disgression. If we are not notified within the above time frame, your order will be delivered and/or billed when originally scheduled.
Delivery & Pickup
- If you choose to pick up your items, you can pickup your items 2 days before your scheduled event date unless special arrangements have been agreed upon.
- If we are to deliver your items, your order will be delivered to you 2 days before your scheduled event date.
- If you've hired us to setup your event, your venue(s) will be decorated by us 1 to 2 days prior to the event as allowed by the venue(s).
- If you've hired us to takedown your event, our items will be removed (in accordance with your venue(s) requirements) and the items will be cleaned by us.
Returning Rentals
If you chose to pick up your items and did not use Elegant Occasions for the takedown of the event, all rented items must be returned to Elegant Occasions within 2 working days after your scheduled event date in their original condition with the exception of linens.
(Please review the following conditions and contact us if you think you may need an extended rental time frame arrangement. We will advise of additional rental fees that may apply at that time.)
- Linens must be returned the next business day after your event and must be dry so that they can be returned to our vendors without penalty to us. If we are assessed late fees by our vendors due to linens being returned to us late, we will pass those charges on to you.
- If items are not returned within 2 days after your event and you have not contacted us to make special arrangements for delivery or pickup, you will forfeit your entire cleanup/damage deposit regardless of the condition items are in when they are returned.
- If items are not returned within 10 days after your event and you have not contacted us to make special arrangements for delivery or pickup, you will forfeit your entire cleanup/damage deposit and you will be billed for the full replacement cost of the rental items not returned.
If you selected our takedown service, Elegant Occasions will do the cleanup after your event, and all rental items will be picked up and cleaned by us.
If you opted to forego our takedown option and the rental items are returned dirty, a 50 cent per item charge will be assessed against the cleaning/damage deposit.
If any of the rental items are missing or returned damaged, the full replacement cost of the item(s) will be assessed against the cleaning/damage deposit.
Customer Agreement
I understand and agree to the terms and conditions in this agreement.
I agree to pay the cleaning/damage deposit and understand that it is refundable when my rental items are returned clean and undamaged.
I understand the payment schedule as outlined in this agreement and agree to abide by all of the terms of this agreement.

Elegant Occasions is not responsible for the use or misuse of products offered for sale or rent by us.
We can not guarantee that proper use codes in any particular area or at any particular venue allows for the use of our products as they were designed and/or sold/leased to you.
Elegant Occasions and its employees assume no liability for any particular use of any of our rental or purchased products in the decorating of your event.
